Outlook Tasks Assigning Others to a Task

Assigning a "Task" allows you to send the task to other people with items such as a start date, an end date, a priority level, how much is already completed, and the ability to check off the task as completed. While a Task is very similar to a Calendar Appointment, it is different because it is orientated to a time period, with a goal of completion. A Calendar Appointment is more one precise time, and does not tend to have an ongoing time frame. For example, an Appointment to take a test or go to the doctor comes, and is finished. A task can extend over months, with items such as progress checked daily, until the task is complete. You can make a "Task" just for you, or you can assign a "Task" to one or more people. If you are working on a group project for school or work, the group leader can assign "Tasks" to group members with priority status and completion levels, so that progress can be monitored daily. Practice the following to assign a "Task" to others. When you are finished move to the link at the bottom of this page titled "BACK" to go to the "Outlook Lessons" web page.

1. Open Outlook.

2. Press Control 4 to go to the "Tasks" area.

3. Press Control n to create a new "Task."

4. Fill out the "Task" form.

5. Hit the Alt key one time.

6. Right arrow to the "Task" tab of the ribbon, if you are not already there.

7. Down arrow one time.

8. Hit the Tab key again-and-again until you hear "Assign Task."

9. Hit the Enter key one time and the form for sending the Task you just created will come up, and you will be in the "To" edit box.

10. Type the email address for one or more people who are being assigned to the "Task."

11. Hit the Tab key again-and-again to check items on the form, and stop at the large text area.

12. In the large text area of the Task assignment form is an area for you to type a note to the people receiving the "Task" assignment, followed by a horizontal line, and then the original text of the "Task."

13. Hit the F7 key to spell check the "Task."

14. Press and hold down the Alt key and hit the letter s to save and close the "Task."
